Position Summary:

The Database Manager administers and manages the daily workflow of the Advancement Information Systems (AIS) department. Under the guidance of the Director of Advancement Information Services (Director of AIS), the Database Manager will ensure timely record creation and updates are made in the constituent relationship management and fundraising system of record and transferred to other applications in use by Institutional Advancement.

Major Responsibilities:

  • Implement the Advancement Information Services department strategy and data management needs.
  • Provide day-to-day support and guidance to the Advancement Information Services staff.
  • Responsible for accurate and timely updates to the Institutional Advancement information systems with campus data and other sources. This involves acquiring, retrieving, importing and manual entry of constituent records and related information, such as demographic details, event attendance, volunteer status, scholarship support, scholarship receipt, employment data and special interests.
  • Develop, execute, and manage constituent imports and global changes.
  • Responsible for the maintenance of tables, dictionaries, queries, exports, lists and business rules to meet operational needs and strategic goals.
  • Communicate with the AIS Director regarding issues and opportunities identified with the utilization of databases and existing technologies. May be asked to assist with technology assessments and evaluations of potential new vendors.
  • Manage database security protocols; create and terminate user credentials as necessary and maintain documentation of changes made.
  • Train new employees in the use of Raiser's Edge and Asana. Assist users as needed with other tools in use by IA, including Anthology Encompass and Microsoft Office products
  • Provide oversight of the hardware management needs for the division. This involves coordinating equipment orders, returns and device tracking necessary to ensure proper data security and regulatory compliance.
  • Assist the Director of AIS with reporting needs, including the Voluntary Support of Education (VSE), Alumni Engagement Metrics (AEM), campaign support, dashboard development, etc.
  • Provide leadership and project management for system upgrades.
  • Establish and/or revise data management policies and procedures.
  • Manage regular data integrity checks.
  • Critically analyze datasets from outside sources prior to import.

    • Required Qualifications:

    · Previous supervisory experience
    · AND
    · Associate's Degree plus 5 years of relevant work experience
    · OR
    · High School diploma or its equivalent plus 8 or more years' relevant work experience

    Preferred Qualifications:

  • Bachelor's degree with relevant work experience in data management and analysis
  • Experience using Raiser's Edge NXT, Anthology Encompass, Import Omatic, Asana
  • Experience working at a help desk and/or providing end-user training and support
  • Experience in Higher Education or not-for-profit fundraising support roles
