The Director, Enterprise Applications is responsible for serving the customers of
Administrative Information Services (AIS) by managing the staff and work of the AIS team
of IT Services. AIS holds primary responsibility for developing and maintaining the
College's Enterprise Resource Planning (ERP) system and related administrative software
systems and for providing technical support for the users of the ERP. As a member of the
senior management team, this position also works with the CIO to shape the policies, plans,
service levels and directions of IT Services, and works to ensure the effectiveness of the
organization in supporting the teaching, learning mission of the College and the business
processes of the various administrative departments.
Supervise software analysis and operations staff and functions
Coordinate schedules, set priorities and determine timelines and resources needed or tasks, in accordance with College and departmental goals.
Provide technical leadership to AIS team by overseeing development, administration and operations of ERP/SIS and related systems.
Provide leadership to AIS team including developing team and individual goals, coaching, and developing service and technical skills of team members, and providing direction, setting schedule of tasks for staff, managing performance management and evaluation process.
Ensure consistent, quality customer service ethic on team.
Manage daily ERP/SIS system operations to ensure prompt and accurate delivery of data services (i.e., reports, data extracts/imports, printing) to customer departments.
Help make training opportunities available for AIS staff to develop current technical skills, as required by the advancement of the ERP software systems, to provide optimal technical support and redundant coverage of responsibilities.
Foster continuously improving customer support
Routinely collaborate with managers and staff throughout College to identify information service needs, recommending and supporting solutions that improve business processes.
Ensure proper user access and security to ERP/SIS and related systems is maintained to preserve the viability of the ERP/SIS for all users and to protect sensitive data.
Oversee training of users prior to implementation of new or revised systems, in collaboration with client departments, and outside consultants, as required.
Ensure users' requirements are met and trouble tickets are resolved promptly.
Confer with administrators and users regarding desired enhancements and modifications to ERP/SIS and related systems, which includes providing technical expertise and recommendations of AIS team regarding business process and how software may support such processes. Usually done through formal prioritization process.
Ensure AIS team works with customer departments to promote effective use of each portion of ERP/SIS system, especially by supporting efforts to enable each user to be more self-sufficient and successful.
College Reporting
Support the College's reporting and analytics needs by maintaining reporting software, writing reports, training report writers and setting best practices.
Assist in efforts for Data Governance. Includes maintaining and encouraging documentation around fields, datasets, policies, and procedures, etc.
Continue to look for ways to improve reporting at SMC.
Software Support/Maintenance/Relationships
Responsible for guiding/overseeing the adoption and use (including development, support, maintenance, and integration) of SMC enterprise applications and related IT services and functions, including ERP/SIS and all 'shadow' systems (DocuSign,
ImageNow, PowerBI, and other proprietary administrative applications.).
Provides direction and operational support for both in house and contracted development, system/database administration and enterprise IT operation staffing.
Manage Projects
Manage multiple software projects and deadlines, in accordance with institutional and departmental goals and priorities.
Ensure effective communication of project statuses between AIS and project participants, as well as to general user community when necessary.
Participates in or manages special project teams at the discretion of the CIO, typically related to improving overall efficiencies of delivering information services.
Other Functions
Participate in IT Services departmental planning and overall management of the department.
Assist CIO, and work collaboratively with other IT Directors, in setting overall directions and furthering initiatives in alignment with College strategic directions and the Tech Strategic Plan.
Assist CIO in ensuring effectiveness of all College technology operations.
Promote collaboration between AIS and other units within IT Services.
Participate in future planning and goal setting for College-wide IT initiatives.
Attend informational and training classes/conferences as needed (approximately two (2) per year) to stay current with technology and with the trends in higher education.
