Position Summary
Reporting to the Vice Dean for Artificial Intelligence (AI) Initiatives and Principal Investigator (PI) in the Faculty of Arts & Sciences (A&S), the Program Coordinator will support the operations of the PI?s grant-funded research as a member of the History Lab and assist with the Vice Dean?s efforts to develop and implement AI strategies within A&S.
The AI initiative seeks to establish Columbia as a leader in preparing undergraduates to navigate and shape an AI-driven world with insight and responsibility. Working in collaboration with Schools across the university, the initiative will focus on creating new courses and curricular innovations that help students engage with AI ethically and effectively. The Coordinator will support the Vice Dean in guiding university-wide conversations on AI, building partnerships with peer institutions, and offering expert input on policy and regulatory issues affecting higher education and research.
***This is a temporary, grant-funded, one-year position.***
Responsibilities
AI Initiative
Assist the Vice Dean in developing and nurturing strategic partnerships across Columbia?s departments, centers, and institutes and with external academic and industry partners. Create, maintain, and track all networking activities.
Participate in advancing cross-institutional initiatives and representing A&S in university-wide discussions on AI policy, governance, and regulatory frameworks.
Contribute to the advancement of AI initiatives within A&S by supporting the Vice Dean?s research on the application of generative AI in academic and administrative contexts.
Lead the planning and execution of AI-related high-level events, including faculty talks, symposia, and guest speaker visits.
Manage complex scheduling demands, including the Vice Dean?s calendar, ensuring seamless coordination across internal and external stakeholders involved in AI-related programming.
Research Project Support
Facilitate collaboration across project teams, including coordination with University Writing (UW) instructors and staff from the Columbia Center for Teaching and Learning (CTL), to ensure alignment with project goals and timelines.
Support the preparation and submission of grant proposals, including gathering documentation, drafting components, and tracking deadlines.
Assist with Institutional Review Board (IRB) submissions and ensure ongoing compliance with research protocols and university policies.
Organize and execute workshops, lectures, and research symposia logistics, including space reservations, materials preparation, and participant communications.
Monitor research-related budgets, process reimbursements, and maintain accurate records of expenditures for grants, workshops, and conferences.
Support event outreach and visibility by coordinating conference publicity, including managing promotional materials and communications.
Arrange travel and lodging for invited speakers and event participants, ensuring timely communication and a seamless guest experience.
Maintain engagement with workshop participants post-event by distributing resources, collecting feedback, and providing follow-up support.
Manage content updates for the History Lab website, ensuring timely publication of news, events, and research highlights.
Schedule and coordinate regular History Lab meetings, preparing agendas and tracking action items as needed.
Minimum Qualifications
Bachelor?s degree and 0-2 years of related experience.
Preferred Qualifications
Experience in a higher education environment.
Interest in the field of social science research.
Experience with Python, R, and SQL.
Other Requirements
Availability to work early morning, night, and weekend hours to support research activities, workshops, and conferences is required.
Excellent written, verbal, and interpersonal communication skills.
Ability to maintain high confidentiality and professionalism with a client focus.
Strong multi-tasking, prioritization, and organization skills and the ability to coordinate multiple projects simultaneously.
Attention to detail, research, critical thinking, and analytical and problem-solving skills.

Working knowledge of ARC, Finsys, Microsoft Office, and relational databases.
