This is a temporary position beginning in January 2025 and ending June 30, 2025.
The Date and Event specialist - TEMPORARY will support the Academic Ceremonies team in the lead-up and during the execution of all Commencement season ceremonies, events, and activities. This role will manage technical reporting, and data management operations, which include tracking, uploading, and manipulating spreadsheets for multiple software platforms and partners. This role will also assist with marketing and communications for ceremonies such as visual and print communication, email and website management, social media and the use of new technologies including AI. The specialist will also coordinate logistics management for regalia ordering and distribution, photographers, facilities, faculty, and senior leadership.
Key Responsibilities Include:
Maintain up-to-date data with weekly reporting to track attendance and generate reports for registration and ticketing platforms such as Cvent, Marching Order, Marketing Cloud, and MLB Tickets.
Work with Oak Hall and Northeastern's bookstore (Follett) to manage regalia ordering, inventory, and distribution.
Supply management for faculty and staff regalia for Boston ceremonies and celebrations and Global campuses.
Designing and editing email communication, registrations, and automation for students, parents, and university partners.
Update the Commencement website using WordPress to ensure current, accurate, clear, and concise communication to the Northeastern community.
Work with University's central marketing team on brand guidelines, digital programs, schedules, and livestreams.
Produce and edit digital content such as flyers, programs, social media posts, and interactive graphics for events.
Communicate with the senior experience team and student affairs to maintain consistent messaging across campus and assist with the student speaker and student flag bearer process.
Communicate with on-campus partners such as facilities for transportation, signage needs, and event set-up to ensure timely and accurate deliveries.
Assist with administrative support and customer service for student and guest inquiries.
Candidates Qualifications Include:
Excellent computer skills: Must have intermediate knowledge of Microsoft applications (Word, Excel, PowerPoint)
Must be able to lift 25 pounds, stand and walk for long periods of time, and work around a flexible schedule including nights and weekends during the ceremony season.
Able to work as a team member and independently.
Previous event experience.
Superb organizational and time management skills.
Strong and positive communicator.
Position Details
Temporary position up to 40 hours per week.
Standard schedule 5 days a week, M-F, 7 hours per day 9:00 a.m. - 5:00 p.m. ET. (including 1 hour lunch break)
During ceremony season, hours and days will extend to support the ceremonies.
Weekend work during ceremony season April -June.
This position is based in-office at our Boston campus with some flexibility.
Reports to the Assistant Director, Academic Ceremonies.
