Job Description:

• Manages and produces events for UChicago Global, Science Strategy, and Corporate Engagement offices (virtual, hybrid, and in-person) with minimal guidance.
• Works in collaboration with event partner to determine themes and concepts; responsible for executing the vision of the partners.
• Creates planning timelines and serves as project manager for the completion of each deliverable.
• Selects and manages internal and external event-related vendors including but not limited to, venues, catering, security, transportation, stage and floral installations, AV, rentals, and facilities.
• Plans, develops, analyzes and manages budget, including developing multi-year budget forecasts, providing financial projections and tracking cost-saving initiatives.
• Gathers and analyzes data and feedback on events.  May utilize existing tools to gather and present data, where available, and responsible for developing new tools when necessary.
• Assists in organizing various meetings and itineraries for high-level visiting delegations, and in the preparation of materials (including itineraries, biographies, presentations, reports, etc.).  
• Staffs events and meetings as requested.  
• Provides campus tours for high-level visitors.  
• Works within a CRM database, including data entry related to events and event attendees.
• Resolves many office problems independently and facilitates solutions, conferring with supervisor to resolve the most complex issues.
• Uses best practices to develop and execute organization's operational and overall strategic plan.
• Develops and implements relevant policies and procedures and ensures compliance.
• Orders supplies and assists with other record-keeping as needed. 
• Manages special projects and other programming upon request.
• Reviews and finalizes the guest lists, assists with mailing invitations and creates complex brochures for the event.
• Implements ideas for improvement as they are identified in addition to providing post-event feedback on turnout and vendor performance.
• Performs other related work as needed.

Preferred Qualifications

Experience:

• Seasoned professional with experience planning and implementing complex events. 
• A minimum 5-7 years of progressively responsible experience in event and meeting planning and management, preferably in a higher education setting.
• Experience interfacing with with senior government officials, corporate executives, and academic leadership.

Technical Skills or Knowledge:

• Advance Microsoft Office (Word, Excel, PowerPoint) skills.
• Familiarity with University of Chicago systems and processes strongly.
• Familiarity with University of Chicago academic and administrative landscape.
• Familiarity with customer relationship management software.

Working Conditions
