Position Summary:

The Cove@UCI is a state-of-the-art facility designed for conferences, lectures and academic symposia hosted by UCI and external organizations that advance and support the study, research commercialization, knowledge dissemination and public policy impacts of the following fields-science, technology, engineering, health sciences, sustainability, and artificial intelligence.

The Beall Applied Innovation (BAI) Senior Event Venue Specialist will use their skills as a seasoned, experienced professional to provide comprehensive coordination and management oversight of moderately complex, small to medium-sized events. In collaboration with building facilities and operations staff, responsible for the management and operations of event venue spaces. Involves coordinating and overseeing event aspects of the venue, ensuring smooth execution of events, maintaining a high standard of service, and creating an exceptional experience for clients. This position requires a detail-oriented individual with strong communication, organizational, and leadership skills and a passion for delivering excellent customer service.

$66,700.00 - $118,500.00 (Annual Salary)

Required:

Proven experience (3+ years) in venue management, event coordination, or related roles.

Strong organizational and project management skills, with the ability to multitask and prioritize effectively.

Excellent communication and interpersonal skills, with the ability to build positive relationships with stakeholders and provide exceptional customer service.

Deep experience using event management software and tools, and miscellaneous communication tools such as Microsoft Suite, etc.

Knowledge of health and safety regulations and venue compliance standards.

Strong leadership and team management experience

Deep experience in white glove customer environments.

Ideal candidate will have experience in technology companies, economic development/ecosystem building programming, etc.

Bachelor's degree in hospitality management, event management, business administration, or a related field (or equivalent experience).

Thorough knowledge and understanding of concepts, principles, and practices of event planning and public relations, including event design, organization, and production. Demonstrates good judgment in making decisions and managing events. Skill in effectively meeting budget and time constraints. Demonstrated organizational and project management skills to work successfully with clients to produce high-quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship. Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations, including academic, University staff, and industry partners, with competing priorities. Highly developed judgment, decision-making, and problem recognition/avoidance/resolution skills, including skills in determining those issues/problems that need to be brought to management's attention. Knowledge of principles and practices of volunteer recruitment, supervision, motivation, and evaluation. Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines. Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete a large volume of diverse tasks efficiently, meeting established deadlines. Ability to effectively work with invited guests, donors, government officials, and university VIPs. Knowledge of crowd management, crowd safety protocols, security, and emergency procedures related to small, medium, and large-scale gatherings. Ability to give clear directives and use independent, rational judgment to make optimal decisions. Knowledge and skill to set and monitor work standards and protocols.

Preferred:

Thorough knowledge of the campus, its vision, mission, programs, policies, achievements, and infrastructure. Knowledge of University policies and procedures relating to the use of University facilities, event management, and presentation. Knowledge and application of Beall Applied Innovation's mission, vision, aims, and objectives to properly support events that align with BAI.

Flexibility to work evenings and weekends, as required by event schedules.
